Getting enquiries in
Log a phone call
Record an incoming, outgoing or missed call in a few taps, on a new or an existing enquiry.
Before you start
Use this for any call, including missed ones. If you are already on the enquiry page, use the box above the timeline instead: set Log as to Call, choose We called or They called, choose what happened, add notes and select Log.
Steps
On the Dashboard select Create, then Log a call. (Or open Leads and select Log a call.)
Under Call choose They called us or We called them.
Under What happened choose the outcome. For a call to you: We spoke or Missed call. For a call from you: We spoke, No answer or Left a voicemail.
Enter the Phone number with the country code, for example +971 50 123 4567. Add the Name (if known).
Write what happened under What was it about?: what they need, key dates, what you agreed. For a missed or unanswered call the box is called Notes (optional).
Leave When as Just now, or choose the time. It cannot be in the future.
If a follow-up is due, set Next follow-up (optional).
Select Save call.
What happens next
If the number belongs to someone with an open enquiry, the call is added to that enquiry. A new number becomes a new enquiry with the source Phone. The enquiry page opens. A call you made, or a call you answered, counts as a reply for response times. A missed call does not. The follow-up date shows on the enquiry and in your Dashboard diary.
If something looks wrong
- Enter the phone number: the number is required on this screen.
- Enter a valid phone number, for example +971 50 123 4567: add the country code.
- The call went on the wrong enquiry, or you logged it twice. There is no screen to edit or delete a logged call. Tell your Owner.
- A new enquiry from a call shows Unassigned. Open it and choose an Owner at the top right. If the menu is greyed out, ask a colleague who can assign.
