Working an enquiry
The enquiry page: notes, tasks, follow-ups and WhatsApp
Where things are on an enquiry, and how to add notes, tasks and follow-ups and message the client on WhatsApp.
Before you start
Open an enquiry from Leads, the Board, the Dashboard or the search box. You need permission to edit enquiries to change anything. Without it the page is read-only.
Steps
Read the top. You see the reference (such as L-000123), the title and badges for status, priority and practice area. Stage and Owner are menus at the top right.
Use the progress steps under the title: First reply, Conflict check, Consultation, Documents, KYC, Engagement letter and Client. KYC and Engagement letter show only when your plan includes them. Each step opens its tab: Overview, Consultation, Documents, Checks or Engagement letter.
Add a note. On Overview, type in the box above the Timeline, leave Log as set to Note and select Log.
Record something that happened elsewhere. Change Log as to Email sent, WhatsApp sent, Email received or WhatsApp received. For a whole chat use Paste messages.
Message the client on WhatsApp. Under Contact select WhatsApp. WhatsApp opens with a greeting typed. You press send there. Back in Qadiyo select Log as WhatsApp sent so it counts as a reply.
Add a task. In the Tasks card, under Add a task, type What needs doing?, choose a type (Follow up, Call, Request info, Consultation or Other), set the Due date and who the task is for, and select Add task. Tick the box when it is done.
Set a follow-up date. In the Matter card select Edit details, set Next follow-up and select Save. It then shows under Status.
Read the Timeline, newest first. Entries made by people stand out. Entries made by Qadiyo, Qadiyo AI or Website form are quieter.
What happens next
What you log updates Last contacted and the response clock. Overdue follow-ups and tasks show on your Dashboard and on Tasks.
Qadiyo does not send WhatsApp messages, and it does not send any email that you or the AI wrote. You send those from WhatsApp or your own mailbox. To clients, Qadiyo itself sends only the four fixed emails listed in Send the client their private page.
If something looks wrong
- The WhatsApp button is missing: the contact has no phone or WhatsApp number. Select the contact's name and add one.
- Menus and buttons look greyed out: your role cannot edit enquiries.
- A field changed and you did not change it: check the Timeline. It lists automatic changes.
