Run a conflict check and decide on a match

Run a name search on the parties, and what a partner chooses when there is a match.

Before you start

Anyone who handles enquiries can run a check. The Marketing and View Only roles cannot. Only the Owner and Partner roles can decide on a match. The Admin role cannot. Your firm chooses in Settings > Conflict checks whether a cleared check is Required before an enquiry becomes a client (the default) or Warning only.

Steps

To run a check

  1. Open the enquiry. Select the Conflict check step, or the Checks tab.

  2. Check the parties. Qadiyo suggests the client and, if known, the other side. For each, set the Role (Client, Other side or Related party) and a real name. "The landlord" cannot be checked. Add Company (optional), Email (optional) or Phone (optional) if you have them. Select Add party for a spouse, company, director or guarantor.

  3. Select Save and run check.

To decide on a match (partners)

  1. Open the enquiry's Checks tab. Each match shows as Direct conflict or Possible match, with the reason (same name, similar spelling, same phone number) and a link to the other record.

  2. Under Your decision choose Not a conflict, clear it; Conflict, but written consent obtained; or Conflict, decline the enquiry. Qadiyo records your choice and your reason. It does not check that written consent exists.

  3. Write a Reason, for the record (at least 5 characters). Select Record decision.

What happens next

With no match, the check clears itself and says No conflicts found. That means Qadiyo found no matching name in the records saved in Qadiyo: contacts, enquiries and any past matters your firm has imported. It searches nothing else. A name search is not a decision about whether your firm has a conflict. Your firm's own conflict procedures decide that.

With any match, the status becomes Waiting for a partner's decision and partners get a notification and an email. If your firm's setting is Required, the enquiry cannot become a client until a partner has decided. If it is Warning only, Qadiyo shows a warning and does not block it.

Declining closes the enquiry as lost with the reason Conflict of interest. Qadiyo does not contact the enquirer. Your firm decides what to say to them and how.

Qadiyo records each check and each decision, with the time and the person who made it.

If something looks wrong

  • Status Parties changed since the last check: the parties were edited after a clear check. Select Edit parties and check again.
  • Add the client as a party: a check needs a row with the role Client.
  • A yellow note says a name looks like a description. Replace it with the real name.
  • Past clients do not show up in results. An Owner or Partner can import them (see For the Owner: import past matters for conflict checks).
