Working an enquiry

Offer or book a consultation

Offer a consultation for the client to book, or book an agreed time, then record that it was held and the fee was paid.

Before you start

Your Owner sets up consultation types (length, video, in person or phone, and fee) in Settings > Consultations & payments. Without a type you can still offer a basic consultation. Qadiyo takes no payment. Clients pay your own payment link or bank details, and you mark the fee as paid.

Steps

  1. Open the enquiry and select the Consultation tab. The form is already open when nothing is waiting. If one is already offered or booked, select Offer a different consultation.

  2. Choose the Type, who the consultation is With, and the fee.

  3. Choose how the time is set. The client picks a time on their client page (recommended), or We already agreed a time, and then choose the date and time.

  4. Select Offer consultation, or Book consultation if you set the time.

  5. If the client picks, send them their link from the Client page card (see Send the client their private page).

  6. After the meeting, select Mark as held. If the client did not come, select Did not attend. To cancel, select Cancel.

  7. When the fee arrives, select Mark fee paid and add a Payment reference (optional) if you have one. Select Waive for no fee.

What happens next

The client sees free times inside your business hours, away from the lawyer's other bookings. When they book, they get a confirmation email with a calendar file and your payment details, and the lawyer and owner are notified. The stage moves to Consultation booked. Qadiyo emails a reminder the day before. If you set the time yourself, Qadiyo does not email a confirmation, so tell the client yourself. On the Firm plan, Prepare meeting brief gives you a one-page sheet of what is on file.

If something looks wrong

  • No consultation types yet. Ask your Owner to add one.
  • A warning says to add your payment link: the fee is above zero and Settings has no payment link.
  • The client sees No times are free in the next few days. Check business hours, notice and days ahead in Settings.
  • You offered the wrong thing: offering again replaces the one still waiting for the client.
