Prepare and send an engagement letter

Prepare a letter from your firm's template, make it ready to sign, and see what Qadiyo records when the client signs.

Before you start

Engagement letters are part of the Professional and Firm plans. The wording of the letter is your firm's. Qadiyo supplies a starting template in English and Arabic: an outline with gaps in [square brackets]. Your firm's own lawyer, not Qadiyo, approves the template wording, and your Owner puts it into Settings > Engagement letters. Qadiyo's starting Arabic text has not been checked by a native legal translator. Qadiyo gives no view on the wording of any letter, or on the legal effect of a letter or of a signature given through Qadiyo.

Steps

  1. Open the enquiry, then the Engagement letter tab.

  2. Choose the Language (English and Arabic, English only or Arabic only). Select Prepare engagement letter. The client's name, the firm, the lawyer, the matter and the reference are filled in. Qadiyo fills in the fee from the enquiry's Estimated value, if it has one. Qadiyo does not know what fee the client agreed.

  3. Replace every [bracketed] gap, including the scope of work. Check the fee against what was agreed. The page lists what is Still to fill before sending. Select Save draft.

  4. Select Make ready to sign. The wording locks in Qadiyo.

  5. Send the client their link from the Client page card (see Send the client their private page).

  6. To change the wording later, select Withdraw and prepare a new letter. Select Discard to drop a draft.

What happens next

The client opens their page, reads the letter, types their full name, can draw a signature, ticks the box and selects Sign. They can also decline and say why.

Qadiyo records their name, the time, their internet address, their browser and a fingerprint of the exact text. This is a record kept in Qadiyo. Qadiyo gives no view on whether it is enough for any purpose. That is for your firm and its lawyer.

The enquiry's owner and the person who made the letter ready are notified, and the client gets a thank-you email with a link to the signed copy. The enquiry moves to Engagement pending when the letter is made ready. Select Print view to print or save as PDF. Signing does not convert the enquiry. See Turn an enquiry into a client.

If something looks wrong

  • Replace these parts first: a bracket or a {{placeholder}} is still in the text.
  • Make ready to sign fails on a closed enquiry.
  • The client declined. The tab shows their reason if they gave one. Speak to them, then prepare a new letter.
  • A red warning says the text on file no longer matches the fingerprint taken when the letter was made ready. Tell your Owner. Your firm decides what to do about that letter.
