Working an enquiry

Request documents and check what comes back

Ask the client for documents, then accept each file or send it back with a reason.

Before you start

Clients upload on their private page, so they need the link first (see Send the client their private page). Files can be PDF, JPEG, PNG, WebP, HEIC or Word, up to 25 MB each. You need permission to view documents to see this tab.

Steps

  1. Open the enquiry. Select the Documents tab, then Request documents.

  2. Under Start from a list, choose a ready-made list (for example Identity (individual), Employment dispute or Travel ban). Or select Add a document and type your own.

  3. For each row add a Note for the client (optional) if it helps, and tick or untick Required.

  4. Add a Message to the client (optional) and a date under Needed by (optional).

  5. Leave Email the client a reminder every 3 days until everything is in (up to 3) ticked, or untick it if you do not want reminders.

  6. Select Save request. Send the client their link from the Client page card.

  7. When a file arrives, the item shows To check. Open the file link, read it, then select Accept. Or select Send back, type what the client should fix and select Send back again.

  8. For a file that came by WhatsApp or email, select Add file we received on the item, or Add a file for a loose file.

What happens next

When the client uploads, the enquiry's owner is notified. When every required item is accepted, the request shows Complete. A reason you send back appears on the client's page next to that item. Qadiyo does not email the client when you send a document back, so tell them yourself. If reminders are on, the next reminder lists it.

If something looks wrong

  • A file is rejected for its type or size: ask the client for a PDF or photo under 25 MB.
  • The client uploaded the wrong file. They can remove it themselves until you accept it. After that, select Send back.
  • The request is no longer needed: select Cancel request.
  • You cannot see what is in the Documents tab: your role lacks document access.
